1. Services and Scope of Work

Dance Floor Terminal specializes in the rental, delivery, installation, and extraction of event infrastructure, including but not limited to custom dance floors, staging, sub-flooring, and related production equipment. The specific items, dimensions, venue details, and rental periods will be outlined in your official formal quote or invoice (the "Flight Plan" / Contract).

2. Booking, Deposits, and Payments

• Reserving Inventory: A booking is only confirmed, and inventory reserved, once a signed contract and a non-refundable deposit (typically 50% of the total invoice) have been received.

• Final Payment: The remaining balance must be paid in full prior to the event date, as specified in your individual contract.

• Modifications: Any changes to the order (e.g., increasing floor size, adding custom decals) must be requested in writing and may result in additional charges.

3. Site Preparation and Accessibility

• Venue Readiness: The Client is responsible for ensuring the venue is ready for installation at the agreed-upon arrival time. This includes ensuring clear access pathways, unlocked gates, and cleared floor spaces.

• Surface Conditions: For outdoor installations requiring sub-flooring, the ground must be reasonably clear of debris. Dance Floor Terminal reserves the right to halt installation if the site conditions differ significantly from what was communicated during the booking process and pose a safety risk.

• Delays: Delays caused by the venue or the Client not being ready may result in additional standby labor fees.

4. Equipment Responsibility and Damages

• Care of Property: The Client assumes full responsibility for all rented equipment from the time of installation until our crew arrives for extraction.

• Prohibited Items: To protect our high-gloss and custom finishes, the Client agrees to prohibit items that cause severe damage, such as dragged heavy furniture, exposed metal chair legs without caps, or hazardous liquids.

• Damage Fees: The Client will be billed for any damages beyond normal wear and tear, including deep scratches, burns, water damage (if not a designated all-weather floor), or missing components.

5. Cancellations and Refunds

• Client Cancellation: Cancellations must be made in writing. The initial deposit is non-refundable, as it secures inventory and labor for your specific date. Cancellations made within [Insert Number] days of the event may require full payment of the contract.

• Weather Policy: For outdoor events without overhead coverage, Dance Floor Terminal is not responsible for weather-related disruptions. Refunds will not be issued for events canceled due to inclement weather once the equipment has left our warehouse.

6. Installation and Extraction (Load-in/Load-out)

• Our professional crew will install and strike the equipment at the times specified in your contract.

• The Client or a designated representative (such as an Event Planner) must be available during the load-in to confirm the exact placement of the floor or stage. Once installed, moving the structure will incur additional labor fees.

7. Photography and Marketing Release

The Client agrees that Dance Floor Terminal may take photographs and video footage of the installed flooring and staging prior to or during the event. We reserve the right to use these media assets for marketing, social media, and portfolio purposes, ensuring no private or sensitive information about the guests is disclosed.

8. Liability and Indemnification

Dance Floor Terminal ensures all equipment is installed to the highest safety standards. However, the Client agrees to indemnify and hold harmless Dance Floor Terminal, its employees, and affiliates against any claims, damages, or injuries arising from the use of the rented equipment during the event, except in cases of gross negligence on our part.

9. Governing Law

These Terms shall be governed by and construed in accordance with the laws of the State of California. Any disputes arising from these terms will be handled in the appropriate courts located in or near Los Angeles County.
